What is CAMT.053 and how does bank import work?

CAMT.053 is a standardised XML format banks use to deliver daily statements. You export the statement from your bank and upload it to Bayana. The system processes each statement idempotently (importing the same file twice never creates duplicate transactions) and automatically proposes a match to a member for every transaction — based on IBAN, payment reference, or name similarity. You confirm or reject every proposal in the confirmation queue; only after your confirmation does a final payment get recorded.

Why do I have to confirm every payment manually?

Automatic matching is never 100% foolproof — a similar name or a slightly different amount can lead to an incorrect match. That's why Bayana creates a match proposal with a score and explanation for every transaction, but never books a final payment automatically. You review and confirm (or reject) it in the confirmation queue — keeping your contribution records reliably accurate.

Is my data safe? What about GDPR?

Every organisation gets its own database schema (schema-per-tenant), so data from different associations stays strictly separated. Bayana never asks for a national ID number. Counterparty bank account numbers are shown masked (for example NL12…4300) in logs, exports and overviews. Every write action is recorded in an append-only audit log that can never be changed or deleted. Retention periods are configurable per data type.

How does SEPA direct debit work in Bayana?

For members with an active mandate, Bayana creates a SEPA direct debit batch (pain.008, first collection FRST and recurring collections RCUR) for outstanding contributions. You download the batch and submit it to your bank. Important: creating a direct debit batch does not record a payment yet — that only happens once the collected amount appears on the bank statement and you confirm the match.

What does Bayana cost?

Bayana uses a simple pricing tier: free for small associations, with paid plans for larger organisations or extra functionality such as SEPA direct debit and AI reporting. See the pricing page for current amounts — no hidden costs. Bayana has no long-term contract: want to switch plans or cancel, just get in touch and we'll take care of it.

What kinds of associations is Bayana suitable for?

Bayana is built for small to medium-sized organisations of roughly 50 to 2,000 members: sports clubs, swimming clubs, chess clubs, mosques and religious foundations, scouting groups, cultural associations and federations. When you create your organisation, you pick a matching profile with suggested fields, packages and modules — you can adjust everything afterwards.

Can I switch later, or export my data?

Yes. Your member records, contribution status and transactions can be exported to Excel (.xlsx) at any time, including an ANBI donation overview for donors. There's no mandatory minimum term. Upgrading is self-service; want to downgrade or cancel, just get in touch and we'll sort it out together with your subscription.

Is Bayana available in multiple languages?

Yes. The dashboard, the member portal and the sign-up form are available in Dutch, English and Arabic, including full right-to-left (RTL) layout for Arabic. Members can set their own preferred language for emails and reminders.
